Job Description

CLA is seeking to hire an Office Support Coordinator (Service Processing Coordinator) in our Peoria, ILlocation.

The best candidate will be part of an integrated team to provide client service and administrative support. The Office Support Coordinator will deliver timely, accurate and courteous quality service to internal clients and firm personnel. They must be able to manage multiple projects, undertake a variety of day-to-day office tasks and anticipate the needs while delivering exceptional service.

Essential Job Functions:

  • Assemble, mail, file, deliver, and e-file tax returns
  • Prepare engagement agreements for clients
  • Prepare and e-file tax extensions
  • Proactively manage database and workflow systems to ensure accurate maintenance of client data
  • Set up new clients in multiple software systems
  • Respond to client needs on behalf of tax teams as needed to assist in time and workflow management
  • Participate in local, regional, and firmwide teams to serve our clients
  • Organizing and scanning client documents
  • Track and manage tax eFile deadlines for the local office
  • Tax form management, collect and process in a timely manner

  • Produces quality, professional internal and client-facing documents
  • Implements firm and office processes and procedures with direction from the Operations Director
  • Follows risk-based procedures to finalize financial statements before delivering to the client
  • Performs cash, AR, and other bank balance confirmations for our clients
  • Enters scheduling information into the firm's audit scheduling software
  • Assembles and delivers financial statements and proposals either electronically or in paper
  • Prepares/finalizes engagement letters to deliver to clients
  • Finalizes formatting of financial statements in Microsoft Word and Excel
  • Proactively manages database and workflow systems to ensure accurate maintenance of client data
  • Sets up new clients in multiple software systems
  • Responds to client needs on behalf of various teams as needed to assist in time and workflow management
  • Participates in local, regional, and firmwide teams to serve our clients
  • Provides support to the Office Assistant (Internal Operations Coordinator) by covering the front desk and maintaining the breakroom/supply room during breaks/vacation

Microsoft Windows and Office Products (daily use) Competencies Required.

  • MS Word (intermediate to advanced level)
  • MS Excel (intermediate to advanced level)
  • MS Outlook (intermediate to advanced level)
  • MS PowerPoint (intermediate to advanced level)
  • Adobe, and other Products (intermediate to advanced level)

Minimum Job Requirements:

  • 3 or more years of related administrative support experience required
  • High school degree or equivalent experience is required
  • Associate's or Bachelor's degree preferred
