Description

The AP & Cashiering Clerk is responsible for creating, maintaining and reviewing supplier information. They will review and enter accounts payable invoices, review prepaids and enter journal entries as needed into our Accounting System Software. They will be a part of our cashiering department, receiving donations, sorting, batching and scanning the donations into our Banking System. They will provide additional back-up support for team members during peak processing times and be responsible for any additional projects as assigned by the Senior Associate Director, Accounts Payable & Cashiering.

  • Suppliers
  • Master all aspects of Supplier Requests.
  • Review and process requests in a timely manner to adhere to the 24-48 hours turnaround time
  • Assure proper documentation and procedures are met for every Supplier to ensure proper IRS Form 1099 filing at year-end.

  • Supplier Invoices
    • Process any Supplier Invoices as needed (Create Supplier Invoice/Requests).
    • Process all aspects of Prepaid Requests as needed.
    • All invoice review and entry should be completed in a timely manner with minimal to no errors to assure invoices are processed.
    • Journal Entries for Supplier Invoices with a large number of invoice lines.

  • Other
    • Maintain Service Desk Tickets as assigned by Sr. Associate Director, in a timely manner to adhere to the 24-48 hours turnaround time.
    • Performs Other duties as assigned.
    • Manage own workload and deadlines.
    • Analyze work to ensure completed accurately.

REQUIRED KNOWLEDGE/SKILLS/ABILITIES

  • Basic knowledge of accounts payable and cashiering procedures.
  • Ability to communicate with internal and external customers via phone and email.
  • Strong analytical and problem-solving skills.
  • Ability to handle multiple tasks simultaneously accurately and meet daily deadlines.
  • Ability to work in a fast-past environment.
  • Detail oriented.
  • Ability to respond to inquiries and complaints in a professional manner.
  • Ability to prioritize own work.
  • Availability to support and back up to organization and team during peak periods.
  • Ability to take independent action while keeping supervisor informed.

REQUIRED EDUCATION AND EXPERIENCE (required and/or preferred - again must relate to the Principal Duties and Responsibilities:

  • High school diploma, Associate degree preferred
  • 3 to 5 years accounts payable experience preferred
  • Experience in Microsoft Windows environment with working knowledge of Word and Excel
  • Experience in Google Business environment with working knowledge of Google Sheets, Documents, and Gmail

PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 50 pounds at times. Ability and willingness to travel up to 60% within the assigned territory by car.

Full time based on 37.5 hours per week
